What a Good SMB AI Policy Covers
You do not need a twenty-page legal document. A right-sized policy for a small or medium business is usually one to two pages, written in plain English, and covers six areas:
- Approved tools. Which AI platforms your team can use, and which are off-limits.
- Data handling. What information can never be pasted into a public AI tool (customer records, financials, proprietary processes, employee data).
- Disclosure. When and how to tell customers or colleagues that AI was involved.
- Human review. What must be fact-checked or edited before it leaves your business.
- Account and access rules. Business accounts vs. personal logins, password hygiene, and who pays for what.
- Training and accountability. Who owns the policy, and how the team stays current.
That is it. Clarity, not legalese.
Where to Start
Start with what your team is actually doing today. Have a short, honest conversation about which tools are in use and for what. Then write the guardrails around real behavior, not imagined behavior. A policy that ignores reality gets ignored in return.
Review it once a year. The AI landscape moves fast, and a policy written in early 2025 is already showing its age.
